How to Redact a PDF: 4 Methods Compared
To redact a PDF, you need to permanently remove the sensitive text or images from the file, not just cover them. Redaction is required whenever a document leaves the circle of people allowed to see everything in it:
- Legal: court filings (FRCP 5.2 requires SSNs, birth dates, minors' names and account numbers to be truncated), discovery productions, FOIA responses.
- Healthcare: sharing records without the 18 HIPAA identifiers.
- HR and recruiting: blind CVs, references, disciplinary files.
- Finance and real estate: bank statements for rental or visa applications, loan files, tax returns.
- Everyday: sending an ID scan, a contract or a screenshot without exposing more than necessary.
In each case the standard is the same: the recipient must not be able to recover the redacted information by any means.
Method 1: AI redaction online (recommended)

Method 2: Adobe Acrobat Pro
Acrobat Pro (paid; the free Acrobat Reader cannot redact) has a mature manual redaction workflow:
- Open the PDF and choose Tools → Redact (in newer versions, All tools → Redact a PDF).
- Use Mark for Redaction to select text or draw boxes, or Find Text & Redact to search for a word, phrase or pattern such as phone numbers.
- Click Apply (older versions: Apply Redactions) and confirm. Acrobat asks whether to also remove hidden information.
- Run Sanitize Document to strip metadata, comments, attachments and hidden layers.
- Save under a new name.
Acrobat's pattern search covers a handful of US formats (SSN, phone, credit card, dates). Names, addresses, medical terms and non-US identifiers must be marked by hand, which is where mistakes happen on long documents. Method 3: Other free tools
Several free PDF editors offer a redaction feature. Two things separate real redaction from decoration:
- Does it remove the underlying text? Test by opening the output and pressing Ctrl+A (Cmd+A on Mac). If text under a box gets selected, it is still there.
- Does it flatten the page and remove metadata? Otherwise a layer or the document properties may leak.
Tools such as Smallpdf, Xodo and PDF24 do remove text when you use their dedicated redact function. Anything that only lets you "draw a rectangle", "highlight in black" or "white out" is not a redaction tool. Also avoid uploading confidential documents to a service that stores files on its servers for later processing; PDF Redaction processes files in your browser and never stores them.
Method 4: Manual black boxes (not recommended)
Drawing black rectangles in a PDF viewer, in Word before exporting to PDF, or in an image editor does not delete anything. The text stays in the file, is still indexed by search, and can be revealed by:
- copying and pasting the "hidden" area into a text editor,
- deleting or moving the rectangle in any PDF editor,
- extracting the page text with a script or a PDF-to-text converter.
This is how most public redaction failures happen. If you must work without a redaction tool, print the marked-up document to a scanned image, then treat the scan as sensitive too, because OCR may still recover faint text. In practice, use Method 1, 2 or 3 instead.
Permanent vs. visual redaction
A permanent redaction changes the file itself: text runs are deleted, images are re-encoded without the removed pixels, the page is flattened, and metadata is cleared. A visual redaction only changes what you see. Both look identical in a viewer, which is why verification is a separate step rather than an assumption.
